Sending out emails is easy. Are you getting people to open them? Not so much. Few people will ever see if your messages consistently land in the spam folder. Even if you reach the promotions tab or another directory, your email won’t have nearly the same engagement if it landed right in the target’s inbox. Email deliverability tools help improve your reach and engagement by ensuring your messages reach their intended destination. In this article, we’ll explore the best cold email deliverability tools to help you maximize email reach and engagement by consistently landing emails in recipients' inboxes, driving better results from every campaign.

What Is Email Deliverability and Its Importance
Email deliverability measures the success of email campaigns by calculating the percentage of emails that reach the inbox, not the spam folder or other tabs. For example, if 80 of your 100 emails reach the inbox, your deliverability rate is 80%. This means there’s an 80% chance of any particular email ending up in the recipient’s inbox.
Deliverability Rate = (Emails Delivered / Total Emails Sent) × 100%
Example:
Emails Sent: 1000
Emails Delivered: 950
Deliverability Rate = (950 / 1000) × 100% = 95%
Email Delivery vs. Email Deliverability: Why Hitting the Inbox Matters
You’re not alone if you’re confused about the difference between email deliverability and email delivery. Many people use the terms interchangeably, but they’re not the same.
Email delivery refers to how many emails have reached any folder, including the spam folder.
Email deliverability measures how many emails have reached the inbox.
As you can see, a high delivery rate doesn’t mean you’re blessed with your email outreach; you don’t know how many of your emails hit the inbox versus how many have derailed into the spam folder. A high deliverability rate, however, indeed guarantees some attention from your recipients.
The Cost of Poor Email Deliverability: How It Impacts Your Bottom Line
So why does email deliverability matter, anyway? Well, let’s take a look at the stats. Up to 20% of emails do not reach their destination for being either blocked by the recipient’s Internet Service Provider (ISP) or sent to the spam folder. Low email deliverability signifies the gradual death of your email marketing, costing you an arm and a leg and stomping your business into the muck.
On the bright side, email deliverability is well-known across email marketing, with the world’s best minds toiling to create failproof email deliverability tools.
What’s a Good Email Deliverability Rate?
The higher your deliverability rate, the better (duh). With a 90% deliverability rate considered excellent, it’s hard to accurately determine your benchmark for the abundance of variables in the equation. That said, there are some constant factors affecting an email deliverability rate.
Factors Affecting Your Email Deliverability Rate
1. Email Sender Reputation
Email sender reputation is a score assigned by your ISP based on how well your emails perform, including:
Open rates
CTR
Bounce rates
Unsubscribe rates
Spam complaints and more
ISPs give little insight into their scoring methods, but it’s pretty clear that reputation is King, especially in the eyes of Google or Microsoft. Your email sender reputation can vary from 0 to 100, with 90 being considered good and anything below 70 extremely risky for your email outreach. A fair share of emails from a sender with a low reputation will be blocked, so it’s no use bombarding people with emails before you fix your reputation.
2. Sender Policy Framework (SPF)
Sender Policy Framework (SPF) is an email authentication protocol that verifies that the domain owner authorizes emails sent from a specific domain. The SPF record is a list of authorized IP addresses and mail servers associated with the domain, allowing the email provider to verify that the email in question comes from an authorized source. The verification is done by comparing the sender’s IP address with the IP address in the record.
If the IP address matches, the email goes through; otherwise, it is blocked. SPF records unmistakably determine the legitimacy of emails, protecting users from spammers and impersonating phishing attacks. Having an SPF-protected email adds credibility in the eyes of the recipient’s ISP and increases your chances of hitting the inbox.
3. DomainKeys Identified Mail (DKIM)
Much like SPF, DomainKeys Identified Mail (DKIM) is an email authentication protocol that allows email providers to verify that you take responsibility for the email sent. DKIM uses cryptographic authentication to verify the sender’s identity and ensure the message is not tampered with during transit. In practice, the company adds a DKIM signature to the email header, assuring the email’s legitimacy, which the recipient’s email provider can verify.
At the end of the day, though, the quality of content determines whether your subscribers fall in love with your emails, granting you a conversion chance. Read more about how to boost your email deliverability with quality content.

70–80: This is a good score. Your emails probably land in the primary inbox. Just to be safe, there are still some improvements to make.

How Do I Maximize Email Deliverability?
Authenticate Your Email Domain
Impersonation is not a form of flattery in the email world–it’s one of the quickest ways to tank your sender’s reputation. Suppose you are not enabling Sender Policy Framework (SPF) and Domain Keys Identified Mail (DKIM).
In that case, you risk falling victim to email spoofing (somebody taking control of your email domain) and, as a result, experiencing poor delivery rates. Authenticating your email with SPF and DKIM proves to the ISPs that you are who you say you are and are worthy to send email.
Maintain Proper IP Allocation
As your email program continues to grow, it’s essential to remember that you will need the proper email infrastructure as you scale. Once you reach 25,000 daily emails, you will want to send them to a dedicated IP address.
When you add a dedicated IP address, you’ll have to properly warm it up before sending it to your entire list so that you gain trust with the ISPs that you are sending wanted email. Don’t just keep adding IPs to avoid penalties. ISPs are more intelligent than that and will block an entire IP pool if they suspect this is what you’re doing.
Perfect the Opt-In Process
How you collect email addresses plays a significant role in your deliverability rates. An optimized opt-in process ensures your email list is full of engaged users. If you are sending emails to people who weren’t aware or didn’t agree to receive messages from you, they will mark your emails as spam, and the ISPs will think you’re spamming everyone on your list (even those on your email list that want to receive your email!).
We recommend using double opt-in, which involves two verifications for the user and proves far more successful in cultivating an engaged email list.
Write Subject Lines of the Non-Spammy Variety
Your subject lines are crucial content determining whether a user opens your emails. Although ISPs continue to become more sophisticated in their filtering systems and particular catchphrases won’t necessarily place you in the spam folder automatically, it’s wise to avoid using common phrases.
Some of these phrases include:
Eliminate your debt
Risk-free FREE!!!
There is no absolute rule or words that, if avoided, will guarantee you a place in the inbox. And many legitimate emails might include the words above. But when you’re writing your subject lines, focus on the genuine value of the message without sounding pushy or salesy.
Provide a Preference Center
Once your recipients have agreed to receive emails from you, provide a preference center to decide just how frequently they want to receive emails from your brand. Doing so helps put your recipients in control and keeps them happy. This happiness generally translates to better engagement (which the ISPs notice).
Clean Up Your List Regularly
Don’t let your ego get in the way of your email deliverability. The longer you keep inactive and unengaged users on your email list, the more damage you risk to your reputation and deliverability rates.
Providing a clear and easy way for your users to unsubscribe from my emails helps automate the process. Still, it’s also important to scrub your list on a regular basis so that it is healthy and only includes people who engage with your emails.
Avoid Spam Traps
Spam traps are email addresses established by ISPs and community organizations to catch spammers “in the act” of sending unwanted emails. If a sender sends an email to a spam trap, it is flagged and put on a deny list.
Getting yourself off a deny list is incredibly challenging, so it’s best to never end up on one in the first place. Email marketers can avoid spam traps by keeping a clean list of engaged users and never purchasing an email list.
Send Email That People Love
When trying to improve your email deliverability, you have to please two parties:
The ISPs
Your recipients
But if you please the latter, the former will already be taken care of. ISPs protect the end-user, and if they indicate they are happy, then the ISPs will be pleased with your sending and keep placing your email in the inbox. Above all, if your recipients enjoy and derive value from your email, they will interact with your messages.
Monitor Your Email Metrics
Monitor your email performance metrics to maintain and improve your deliverability rates.
Here's why it matters:
Identify issues early: Regular monitoring helps you spot potential deliverability problems before they become critical.
Track improvements: Analyzing your metrics over time shows the impact of your deliverability efforts.
Optimize your strategy: Use data-driven insights to refine your email marketing approach.
Important email metrics to monitor
Bounce rate: High bounce rates can harm your sender’s reputation. Monitor both hard and soft bounces.
Spam complaint rate: If this rises, it's a red flag that your content or sending practices need adjustment.
Open rates and click-through rates: While not direct deliverability metrics, these engagement signals influence how ISPs view your emails.
Inbox placement rate: This tells you what percentage of your emails reach the inbox.
Implement a Sunset Policy
A sunset policy is a strategic approach to managing inactive subscribers, which can significantly impact your email deliverability. Regularly removing unengaged subscribers keeps your list healthy and responsive. ISPs view consistent sending to inactive addresses as a red flag, which can harm your reputation. Plus, your overall engagement metrics will likely improve by focusing on active subscribers.
How to implement a sunset policy:
Define inactivity: Determine what constitutes an inactive subscriber for your business (e.g., no opens or clicks in 6 months).
Create a re-engagement campaign: Before removing inactive subscribers, try to win them back with a targeted campaign.
Set up an automated process: Use email automation to tag and manage inactive subscribers over time.
Remove with care: If re-engagement fails, remove inactive subscribers from your main list, but consider keeping them on a separate suppression list. A smaller, more engaged list is far more valuable than an extensive list of unresponsive subscribers.
